Management: Functions of Executive Officers (EXCO)

 President or chairman


The president or chairman is responsible for:

1. Promoting and overseeing the highest standards of the association governance within the executive members of the association.

2. Leading, chairing and overseeing the performance of the executive members of the association and playing pivotal role in the creation of conditions necessary for overall members and individuals both inside and outside of EXCO room.

3. Ensuring effective communication with the association members and to chair general meetings.

4. Being a sounding leader and mentor to the EXCO.

5. Fostering an open, inclusive discussion which challenges EXCOs where appropriate.

6. Representing the culture with external parties.

7. Setting agenda for the EXCO, which is focused on strategic matters, forward looking, evaluates and oversees the EXCO activities.

8. Ensuring the EXCO comply with schedule of duties reserved.


Deputy president of deputy chairman 


The deputy president or chairman is responsible for:

1. Serve as a president in the absence of the president.

2. President may assign duty(s) on his or her wish.

3. Coordinate the activities of vice presidents in the three senatorial zones of the state prior to the president.


Secretary

The secretary is responsible for :

1. Arranging meetings, taking minutes, circulating the minutes and dealing with the administration regarding the association in due time.

2. All correspondence will usually be handled by the secretary.

3. Serve as an eye to the association and a good communicator.

4. Prepare in conjunction with the president , the agenda(s) for meetings.

5. Ensures that all members are kept informed about dates, time and venue for the meetings giving proper notice as detailed in the association constitution.

6. To report all important correspondence received to the meeting.

7. To maintain a "sederunt" a register of all members attendance at meetings. Usually, a straightforward sign in sheet that is returned to the secretary will suffice. For online meetings, the secretary shall take a record of all those in attendance.

8. To deals with arrangement L's for visiting speakers or events.

9. In the absence of membership, secretary to take responsibility for signing up of members and maintenance of membership lists.

10. Make arrangements for the general, emergency and annual general meetings, ensuring due notice is given to all members so they are aware of the meetings.

11. Give a report to the general, emergency and annual general meetings  on the past year activity.


Assistant secretary

The assistant secretary is responsible for:

1. Assisting the secretary in his or her work or work(s) may assigned by the secretary.

2. Act as a secretary in his or her absence.


Organising secretary

The organising secretary is responsible for:

1. Organising and attending by ensuring the president or chairman is well prepared for meetings.

2. Missing with other members in the development of the association.

3. Serve as a good adviser to the president .

4. Handling communication activist of the president .

5. Advise the president on drafting agenda(s) to the meetings.

6. Shall protect the confidentiality of the association and the president or chairman.


Liaison officer

The liaison office is responsible for:

1. Liases between youths o'clock dispensation and other association, organisation or governments.

2. Communicate and coordinate activities of the association which require mutual concerns.

3. Help for achieving the best utilisation of resources of the association.

4. Provide technical expertise of the association.

5. Provide face to face coordination of the association.


Secretary To The Vice President  Katsina, Funtua and Daura

The secretary for the Vice president Katsina, Funtua and Daura responsible for:

1. Arranging meetings, taking minutes circulating minutes and dealing with the administration regarding the association in due time for the office of vice president.

2. All correspondence of the office of the vice president will usually handled by the secretary of the office.

3. Prepare meetings in conjunction with the vice president the agendas for the meeting.

4. Ensures that all members are kept inform about dates, time and venue for the meetings in their zones giving proper notice as detailed in the association constitution.

5. To report all important correspondence received to the meeting in the office of vice president.

6. To maintain registers for the attendance of the meeting in the office of the vice president.

7. To make arrangements for any meeting in the office of vice president in their zones.

Director Finance

The director finance is responsible for:

1. Overseeing all financial activities of the association.

2. Reporting on revenues.

3. Training accounting staffs.

4. Budgeting .

5. Disbursing funds to the members.

6. Managing risk.

7. Implementing policies.

8. Improving financial processes.

Director planning, Research and statistics

The director planning, research and statistics are responsible for:

1. Monitoring and evaluating of all projects, programmes implemented by the association.

2. Responsible for data gathering ,collecting, analysing, storing and use statistics relating to the association operations.

3. Draw up plans for the association (action and work plans).

4. Participating in the activitiea of the procurement planning committee and tender board if needed.

5. Management of association records and information resources (data bank, computer services, registry, library, website, etc).

6. Research into the association and operation modalities.

7. Setting and monitoring of performance and efficiency targets.

8. Preparation of annual reports and director general's press briefing texts.

Treasurer

The treasurer is responsible for:

1. General financial oversight.

2. Oversee and present budgets, accounts and financial statements to the executive committee.

3. Financial reporting.

4. Financial planning and budgeting.

5. Banking, book keeping and record keeping.

6. Control fixed assets and stocks.

Auditor General 

The auditor general is responsible for :

1. Conducting post audits of financial transactions of all branches.

2. Improving accountability in the association.

3. Preparing annual reports of the audited accounts of the association.

4. Reporting financial mishap in the audited accounts of the association.


Welfare officer

The welfare officer is responsible for:

1. Improve cordial relation between members of the association.

2. To provide frame work to help members which are in need of assistance for health or other related cases.

3. To ensure the welfare of the members during the meeting by providing water, food and drinks.

4. If needed, ensure assistance of members during festive season like edil fitr and edil kabir.

Director women Affairs 1

The director women affairs is responsible for:

1. Serves as a representative of women and children in the association.

2. Promotes economic empowerment of women in the association.

3. Mobalise women about their social challenges and educate them on how to mitigate the problems.

4. Initiate, formulate, execte, monitor and evaluate policies related to women in the association.

5. Provides equipments and training of women's cooporatives programmes in the association.

6. Helping, ensure prevention, care and support for those living with diseases. 

Director women Affairs 2

The director women affairs 

1. Assist director women affairs 1 in all her duties in the association.

2. Serves as a director women affairs 1 in her absence.

Director Media and Publicity 

The director media and publicity is responsible for:

1. Determine  the best media for promotional strategies of the association.

2. Regularly informing the public in any media about the activities of the association.

3. Design adverts for the association.

4. Negotiate with media channels on advertising the activities of the association.

5. Create  campaigns to reach a broader audience.

6. Oversees members of publicists who manage individual accounts closely monitoring progress and outcomes, identifying areas for improvement and delivering reports to the label of the association.

Legal Adviser

The legal adviser is responsible for :

1. Prepare and file legal documents, such as lawsuits appeals, wills , contracts and deeds.

2. Presents acts in writing and verbally to the clients or others argue on their behalf.

3. Advise and represent clients in courts before government agencies and in private legal matters.

4. Conduct research and analysis of legal problems of the association.

5. Interpret laws ,rulings and regulations for individuals.

6. Communicate with the clients (association) and others.

Director Contact and Mobilisation

The director contact and mobilisation is responsible for :

1. Support secretary general by acting as a senior representative of the association and its secretariat un behalf of the secretary general on issues of contact and mobilisation.

2. Take the lead in coordination of secretariats fundraising work taking a whole a secretariat approach to contact and mobilisation and to leverage the association identified by the contracting parties.

3. Mobilise funding to enable the association implementing the strategic plans.

4. Support secretary generals fundraising and representation work.

5. Make contacts and mobilise those will help the association get revenues to implement its projects.
